Nanuet Staff Connects: Adult Reference
Reference Update, 1/10/2025
On rare occasions, a person will call to see if we have an item, and then reveal that they don't have a card yet. While the old library card NANTELRES has been retired, and this type of transaction may be infrequent, I'd like to be able to offer good service to our new patron and be able to hold that item for 5 days while they have a chance to get a card. To do this, I've created a DISPLAY in Koha called: NAN Tel Reserve / No card yet.
Follow the steps with screenshots in attached PDF to add an item to this Tel Reserve Display, which we'll keep at Reference. Please add a note to the physical item with full patron name and date it +5 days from current date.

UBS visited today and troubleshooted our cardstock problems. Here are the instructions for printing on cardstock. Do not insert cardstock into regular paper tray. The instructions will be laminated and posted at ref desks, and will be on staff site too.
Cardstock Printing Instructions (for staff only)
- Lower side tray. Insert blank cardstock.
- Use Touch Screen on public copier to select these options:
- LTR
- Favorite Paper
- P1
- OK
- On Ref PC, go to Windows Start icon
- Search for Printers / Scanner
- Adult Reference
- Print Preference
- Paper Source
- Multi-Purpose Tray, Select Apply
- Submit your print job
When finished printing cardstock, repeat 3-7, then select AUTO, select Apply.
Double-sided? Print 1 side. Then reinsert in side tray FACE UP, UPSIDE DOWN.

Telephone Holds for On-shelf items / New Procedure
- After finding item on shelf, request patron barcode number.
- Display Title holds for item / title. HOLDS > Display item holds. If there are no holds, place hold for patron and check in. Bring item to front desk with slip. If there are any holds, follow next step.
- Place a hold on the item
- Go to menu HOLDS > Reorder Hold Queue. See where patron is on the list. If not first, right click on name. Cut. Paste their name / barcode to the top. Right click at top of hold list, choose insert row above. Patron should be at top of list.
- Check in book.
- Route book with hold slip to front desk.
This procedure REPLACES using NANTELRES, which should never be used, and makes sure that the items go directly to our hold shelf and not to another library.

Since most magazines are read in-house (we have some statistics on circulation, but not much), I'd like to get a better idea of which magazines are being used. In order to do this, please take the following steps with any magazines you find out on tables. Madavena, can you let pages know to participate in this new practice rather than just reshelving?
- Bring pile / single issues of an abandoned magazine to the reference desk.
- Librarian will go to "Special" menu in SIRSI and then "Mark Item Used."
- Scan barcode for each magazine.
- Return magazines to shelving cart.

The administering of the Literacy Solutions volunteer tutor program has returned to its home base at the New City Library. You'll continue to see LS volunteers meet with students here at Nanuet (Christina said they currently have 10 tutors working here).
Forms have been printed for the following needs and are being kept below the Literacy Solutions tutor log binder behind the adult reference desk:
- Request an English Tutor

- Become a Literacy Tutor
- Monthly Tutor Hours Log
PDF's of the forms are also now stored on the Staff Connects site > Reference > Forms / Promotional. All are alphabetically under Literacy.
Anyone interested in getting a tutor or becoming a tutor can fill out a print form or have a librarian fill it out for them. Please ASK what they prefer as they may require assistance in getting it filled out. We had been using the online forms on Literacy Solution's website, but it appears sending print forms is preferred.
After completing, put the form in an interoffice or other envelope and direct to New City Library via interlibrary mail labeled "Literacy" or "LSNY."

Email Address Accuracy in Evanced
This is a reminder to be very careful when typing in email addresses into evanced. I just went through the Dinner and a Movie for May and found at least 4 errors in email addresses.
- Using Find a Patron to copy a previous registration record is not recommended as it will copy errors over and over. That is clearly one reason this is happening.
- Basic typos like .bet instead of .net, or Helen.Sand instead of Helene.Sand were noted
- Take your time. Verify the spelling with the patron after typing it in.

New York State Talking Book & Braille Library
Please take note of a new tab beneath the Refference tab on this site (Staff Connects) for the NYS Talking Book & Braille Library. This new page contains information on this free library of braille and audio materials which is available for free to any eligible borrowers. Take a moment to read up on this service.
We will also add a brief summary of this service under the adult services tab of our public web site in the future.
I printed 20 brochures to promote this service, and also added a sign in the audiobook zone. If you need to print more brochures, the PDF is at the bottom of the newly created page under Reference.

1. Do not write dollar sign $.
2. Do not write cents sign.
3. Enter sixty cents as .60
4. Enter one dollar and twenty cents as 1.20
5. Enter four dollars as 4.00
5. Write as clearly as possible.

Please take note of the new section / tab on Staff Connects: Museum Pass information for librarians. This would be the information previously in a Word doc in the folder on the main reference desktop. This site is for librarians ONLY. Public information on museum passes can be found on our web site or in the brochure.
I've made an attempt to simplify the text, and also added a Quick Guide at the top for you to consult about whether tickets are required or not.
It can be stressful helping patrons get tickets while providing regular reference service, so please call back to one of the other librarians if others are on staff for support.
Lastly, keep in mind that occasionally we will have lapses in renewals and need to take those out of circulation. I'm making an attempt to keep everything in line, but please take note of renewal dates on cards as a double-check.

Zooming on Chrome in SymphonyWeb
I've reported the folllowing problem to RCLS and Frontline: in Chrome browser, when Zooming in Symphony Web to make the font size bigger 125% or bigger, the screen will start jittering making it unusable.
The only solution so far is to use the Firefox browser. You can zoom up to 170% before the screen starts jittering in Firefox. All the bookmarks from Chrome are imported into Firefox on both reference stations.

Storm King will be closed starting December 12 and will reopen on January 14, 2023 for Winter Weekends (Saturday and Sundays ONLY).
*** During Winter Weekends (January 14 – March 19), Library patrons can check out the Museum Pass for the Saturday or Sunday that they wish to visit Storm King Art Center. Simply show the pass at the admissions booth upon arrival for your free 6-person car admission.

A quirk with Symphony Web on Chrome at the 2 reference stations has been noted. If using the browser Zoom to 125% or more to increase the font size, Symphony will start glitching and making a constant jitter motion in the scroll bars, making it impossible to use. The problem has been tested on other PC's and it doesn't seem to be an issue elsewhere, but you may experience it.

Placing Holds on DVD Sets
Most libraries are not breaking up box sets into individually barcoded discs any longer, but it's worth reminding everyone that if you're ordering a TV show or other multi-part set, and notice that at least ONE of the libraries has barcoded their discs individually, you will want to place a COPY hold on a library that loans the item as a set, or place multiple copy holds if the only copy has been broken up into separate barcodes.
This will prevent a patron from getting just one disc of a box.
Not sure how to place a copy hold? Please let me know so we can go over it.

Hanging Flyers without the Mess
A simple request to not hang flyers with tape as shown below. In addition to looking messy, it's hard to remove the tape from the surface in as little as a week. Instead, make a simple o-shape or donut with a piece of tape, sticking its ends together, and place on the back of the flyer. Super easy to remove and looks much neater. Thank you!

Editing Email addresses on Evanced
There is a way to edit an incorrect email address in Evanced other than making a note in the NOTES field. As you probably know, you can't edit registration details from the Attendance list of an event. Some of us have been adding the correction to the NOTES field, but that won't automate an email and is not the preferred method. Instead, follow these steps:
1. After confirming the correct email address, go to Find Patron in Evanced on left menu.
2. Search for patron using first and last name fields.
3. There may be multiple instances of that patron based on event registered for. The email address should be in red since it has not been verified due to an inaccuracy. Choose the most recent registration date and click Edit on right menu.
4. Make the change to email address field, then click on button Resend Verification Email, and click button Save. That will update the email address.
As always, remember to confirm the email address for any registration as this is most important for communicating and automating Zoom links to be sent.
Colleen Hoover 8/30 AMK
Our Colleen Hoover books are flying off the shelves - without being checked out. We have decided to shelve her books at the circulation desk to try to curb the theft. Bob ordered a bunch of new books. We are making 1 of each title 7 days and all the other (regardless of age) 14 days. I will make a Circ Desk sticker for the titles.
The books will still be listed as new or express fiction. Please DO NOT give the book to a patron without checking them out first. We will put a sign up directing patrons to the circ desk. Please enforce the limit of 2 express books per patron.

Book Club Sets
One copy of each book club set that we own is now being stored below the ScannX machine with a sign that says, "We have multiple copies of these titles in storage. 15+ in most cases. Ask a Librarian to reserve a set for your own book club!"
The storage location for the sets is below the music CD browsers under a cloth. Each box is labelled with its contents. If a patron inquires about using a set for their own book club, please ask for the expected date of their meeting, name of book club organizer, telephone number, and forward that information to me. I don't want anyone to have to dig through the boxes while they are here. I'll make the set available at reference for their members to pick up individually.
Thanks to everyone who helped with this project. We now have more room for science fiction to be shelved at accessible heights and room for adult graphic novels to expand.
Open Play registration
If a patron wants to register for Open Play, please know that registering them for the first day in September does not register them for the entire season (it wasn't created as a recurring event). If they wish to register for all Open Play sessions, you will need to go to each day and register individually. Recall previous patron will save you some time on this.
As a related note, due to the extensive time required for this kind of thing in evanced, especially when registering for friends at the same time, I'm going to create a simple Event Registration paper form for times when you are busy. This will allow us to get their information down clearly (patron can fill out), and put in evanced later when time permits. The form is at reference and on the Staff Connects site.

NAN@RCLS.org Account
In order to protect patron privacy, we need to take action with the NAN@RCLS.org account and make sure people's documents are not being stored unnecessarily.
After printing documents for patrons from the NAN account, be sure to DELETE all related emails. After logging out of the email, the account is now set to automatically empty the contents of the trash / deleted folder.
Guest Pass Batch Printing
It was the practice in the past to batch-print many guest passes in the morning for the day. I usually see them leftover clipped together, and am uncertain if they are current day passes or not. It seems best practice to just print on demand as needed going forward.
Library Card Sign-up Month

I anticipate the question, "Can I enter just by signing up for a new card without being referred by someone?" The answer will be no, but that new cardholder can be encouraged to take a form and go make a referral to someone else and then be entered.

Copier and Humidity
The reference copier is giving intermittent dog-eared pages and misaligned prints. We had this evaluated last summer, and the reason was the humidity.
They advised us to replace paper with a full ream of paper at a time to avoid the remaining paper getting humidified and warped.
Also, reprint at no cost for our patrons if copies are unacceptable.
Legal Forms
Looking for free legal forms on the web, for example a landlord rental agreement form, can be frustrating with many sites leading you on and then asking for payment. Nanuet Library subscribes to Gale Legal Forms database and is accessible here: https://guides.rcls.org/nandatabases/government Forms can be customized in Word or downloaded as a PDF.

Regarding the Self-Checkout feature on the RCLS Gateway app. Within the app, you will see Self-Checkout as an option -- it says "Within a library, skip the checkout desk line and checkout your items with your phone camera."
In the event a patron asks about using this App option, only Washingtonville Library has this feature turned on, so it won't be usable here. If you do pursue it by clicking on Self-Checkout, the message says "You are not currently in a library location. To use self-service, you need to be in one of our library locations."

Adult Summer Reading Club
Staff Contacts: Kristen McInerney & Janis Kowalski
Summary: Adults read the books they choose. After reading 3 books, patrons log their books using the form here: https://rcls.libwizard.com/f/NPLSRC Paper versions of the form are also available at the adult reference desk.
Optional: Attend the Book Cafe meetings: July 7, July 21, August 4, August 8, August 11 (Grand Finale). Patrons must register ahead of time so that adequate food can be ordered. Each meeting will allow patrons to talk about the books they are reading.
Either way of participating (or both) qualifies the patron to be entered to win one of two reading backpacks full of gift cards.

Evanced Registration
When registering patrons for events on Evanced, please follow these guidelines. There are too many inaccuracies on Evanced lately which are leading to patrons not being notified about events, or not getting Zoom links due to simple typographical errors.
- Email verification. Write the email address down clearly on a piece of paper when the patron reads it to you. Do not make assumptions. Ask questions if needed. After writing the email down, ask the patron to review it carefully. Only after it is confirmed should you enter the email into Evanced.
- Along the same lines, don't copy and paste an email address from the SIRSI patron record without confirming it with the patron. Errors happen there as well, and email addresses change.
- Type slowly. Take your time with this process. If you're registering the patron for one event and then using the "Recall Previous Patron" to automate other event registrations, any errors are duplicated.

ADULT SUMMER READING
Patrons have started to inquire about the adult summer reading process. When a patron registers, they will receive a link to the form which is used for reporting. In addition, Kristen M. will be giving out bookmarks with the link to use. Reference will have copies of those bookmarks to give out in the near future. Lastly, although online submission is preferred, we will have paper copies of the book reporting form to give patrons.

- Envisionware Login problem log. Please record any instance of a patron not being able to login with their library card here, especially when two or more attempts are required to get in.
- PC Freeze Log. Please record any instance of a frozen PC here, whether it be while the patron is using the PC or when the PC is inactive (look for this in AM when starting your shift).
Rob needs this information to fully investigate our computer situation and find solutions with Envisionware help staff.

Boscobel House & Gardens announced a change to their museum pass policy. In short, patrons can visit the GROUNDS with the pass only, no advance timed tickets needed. GUIDED HOUSE TOURS or GUIDED GROUNDS TOURS require advance tickets (in order to receive the discount for a GUIDED HOUSE TOUR or GUIDED GROUNDS TOUR (or to make a reservation for grounds admission in advance) the Library Pass patrons will need to enter the discount code: MEMLIB21 on the second page of the registration form when signing up.) We can help the patron get the tickets as usual. See full message below.
GROUNDS ADMISSION
A Library Pass allows up to four guests to visit from 9am till sunset on Saturdays and Sundays for GROUNDS ADMISSION. No advance reservations are required for grounds admission. They will need to bring the library pass with them to show at the front desk in order to receive their discount. Additional guests will need to pay.
GUIDED HOUSE TOUR
A Library Pass allows up to four guests to reserve a spot on a GUIDED HOUSE TOUR on Saturdays only but they must do so before their visit. To reserve their spot they must go to the Boscobel website and click on Calendar and then click on Guided House Tours. The tours are offered at 10am, 10:30am, 12pm, 12:30pm and 2pm and they will need to bring the library pass with them to show at the front desk.

Tax Forms not in stock
We will not be charging .15/page for tax forms which we need to print for patrons.
Also, we are presently out of the tax packets for those getting AARP tax help.
Chromebook / Hotspot Spreadsheets
The idea of retiring the Chromebook and Hotspot spreadsheets for tracking renewals and due dates was proposed in a staff meeting. I appreciate your input about continuing to use them or not use them. Effective immediately, we will not be using the spreadsheets. If there ever seems to be a need for maintaining a waiting list, we will revisit using the spreadsheets.
Policy remains the same for checking out the devices. A few reminders - remember to have new patrons read and sign the agreement form and file in the binder. Don't renew a device unless the patron is in person with the device. Also, please remember to pull the "browser" in the nonfiction room any time a device is checked out, and replace it to the display once it is returned.

Starting Wednesday, April 6, Storm King Art Center will have ticketless admission with library pass. See message from Storm King below:
To visit Storm King – 1. Check out the Storm King Art Center Library Membership Pass. 2. Once the pass is checked out, you may proceed directly to Storm King Art Center. Simply show the Library Membership Pass at the admissions booth upon arrival for free admission. An advance ticket reservation is not required for entry. 3. After visiting Storm King Art Center, return the Library Membership Pass to your library branch.
The Museum Pass document on the desktop will be updated with this information.

Re: Conversations at Reference Desk
We have recently received a complaint about noise coming from staff in the reference desk area. This is a good opportunity for all of us (myself included) to remember that although we are encouraged to make connections with the public about books and library services, and that our friendliness and proactive helpfulness is very much appreciated by the public, extended personal conversations should not be happening at the reference desk between staff members or a staff member and the public. Our library is busier than ever, and many patrons are seeking us out for study zones and quiet reading. Any conversations should be minimal and at a low volume, with attention to the patrons around us. When public programs like the knitting group are happening, we expect that the noise level will be greater than usual.
As an aside to this, here are some guidelines from ALA about being approachable at the reference desk:

To be approachable, the librarian:
1.1 General
1.1.1 Is to be found in a highly visible physical or virtual location (the library, outreach locations, or the library website). Proper signage or notification that indicates the location, hours, and availability of in-person and remote assistance is available.

Reference Updates 3/10/2022 (RB)
- The Book Bingo Reading Challenge for adults and teens has begun. We have packets to distribute at the reference desk, as well as at the teen and adult display areas. There is a "quick picks" book display for various categories in Board #1 right now, with other boards to be highlighted in the coming weeks. If you're on the desk and see empty slots, please try to fill books in by either using the bibliography excel sheet on the desktop ("Book Bingo Titles for Display") -- thanks to Denise for her excellent work on this, and anyone else who contributed -- or by using tools like Novelist Plus. When you're here, take a few minutes to familiarize yourself with the boards and the basic idea of this reading challenge if you haven't already.
- When patrons submit a completed Bingo board to get raffle ticket(s), please issue GREEN tickets to teen players, and WHITE tickets to adult players. After the patron fills out the ticket, place the ticket in the appropriate bucket at the desk (they are labelled).
- Please remember to check out the programming laptop to your card if it is leaving the building. The programming laptop is now being stored in the lower drawer of the tan file cabinet behind Bob's desk in the reference office.

- AARP informed us that all tax-aide appointments are booked (confirmation of this is still pending, 3/2/2022). Please continue to give the patrons the number, with a warning that they are full. There is nothing we can do to get them appointment.
- When placing holds for patrons, please request library card number as your first step. If the patron asks to use their name to place a hold, please be cautious about selecting the correct patron by confiming patron's spelling of name, telephone number, birth date, or street address. The requested information should always be coming from the patron and not offered by the librarian (what is your birth date / NOT were you born 1/1/1929?).

Remaining IT-201 forms are at the reference desk. There is a sign at the tax form station telling them to pick up ONE per person at reference.
Reference Updates 2/22/2022 (RB)
- Closing procedures. Remember to wait for everyone at the door when closing on a day when maintenance staff will not be alarming the building. Be sure everyone is accounted for before anyone leaves. If you must leave promptly, alert at least one person that you are leaving. The person assigned Head of Building (check weekly list at COVID table) is responsible for setting the alarm and making sure the back door is locked before leaving the premises. Showing up on Wednesdays to talk with volunteers about getting an appointment is NOT allowed and should be discouraged (patrons have been asking).
- We have very few IT-201 forms left. Restock about 5 at a time only. What we have left is at the reference desk.
- We've received several calls from people who have left messages with AARP for an appointment but have yet to receive a call back. Please let people know that this is a volunteer-run service, and they should be patient with the process of getting an appointment.
- Reference should offer to help print any tax forms which are not available in the nonfiction reading room. The cost is $.15 per page in all cases.
Reference Updates - 2/7/2022 (RB)
- The appointment number for AARP Tax-Aide is 413-471-9165. It will go live on Thursday, February 10. There are bookmarks with the number at the table in front of reference, and at the tax form table in the nonfiction room.
- One of the Saturday librarian job functions that Kim started that I'd like to continue is the updating of the NY Times Best Sellers list, posted in the New Nonfiction and Fiction areas. If you are the librarian working on Saturday, please print the updated Fiction and Nonfiction hardcover lists from https://www.nytimes.com/books/best-sellers/ You can use the old list to assist with annotating the Nonfiction list with call numbers, but please look up any book that says Available or On Order to see if we have it yet, and add the call #. Print a second copy for each list and add it to the plastic binder at reference. Then hang the 2 lists in the respective areas (only the Nonfiction list needs to be have Call #'s added).
- Literacy Solutions provides free tutoring to Adult English Language learners at sites throughout Rockland and Westchester. Please assist any interested students to apply for a tutor to learn or read English at https://literacysolutionsny.org/ You may see Literacy Solutions tutors teaching at the library, so offer them ideas about good spots to tutor if needed.
- It's good to promote our website as a means of finding and signing up programs on their own, but if a patron asks about a program, always offer to get them signed up.
- Every interaction at reference is an opportunity to promote something else. Think about what patrons are asking, and offer them tips on databases, programs, or other services the library provides. For example, a patrons asking for a computer book should walk away knowing that we subscribe to Linkedin Learning for online courses, or a patron asking for an audiobook that's currently checked out should walk away learning about Libby and Hoopla. Let's remember to be proactive with our reference approach and promote all we offer.

- The plan will be to update this Reference part of Staff Connects with any changes and notes for our dept. on a weekly basis (Mondays).

Museum Pass updates
- Stepping Stones Museum for Children Pass is back out for circulation. This pass is a buy one / get one free deal. Borrow the pass and present at the admission desk to get the discount deal. No timed tickets or reservations required.
- Guggenheim Museum passes (2) will be available in the next week. I just have to create new "browsers" for those passes. Although the member cards have a 3/2021 expiration date, they are good through 3/31/2022. We will be renewing after that date.
- New-York Historical Society and Museum does not require timed tickets as it did in the past. Patrons just borrow the pass and visit during open hours.
- Storm King is open for Winter Weekends (Saturdays & Sundays) now through March 27. For detailed ticketing instructions, see the Museum Pass guidelines PDF on the main reference desktop for procedures for booking tickets.
OverDrive / Libby changes (via Jerry Kuntz at RCLS)
- The OverDrive app will be removed from app stores on February 23, 2022
- Existing OverDrive app users that already have the app downloaded will be able to continue using it.
- The OverDrive app will not be removed from the Amazon App store for Kindle users at this time. Since Libby is not yet available in the Amazon App store, new and existing Kindle users can continue to use the OverDrive app. They can also stream content through http://libbyapp.com or their library’s website, depending on their Kindle. They could also deliver Kindle books using the Send to Kindle feature from another device that does support Libby.

Incident Reports
- There have been a few incidents in the past few weeks relating to enforcing the wearing of masks.
- Please remember to use the Incident Report Form for any patron behavior that causes a disturbance to other patrons or staff. The form is attached to the bottom of this update, and is also available in the FORMS drawer to the right of the main reference PC.
- After completing the incident report form, please leave it in Jessica's mailbox.
Evanced Registrations
- Please be extra attentive to spelling when adding email addresses in evanced events registrations. If the email is not correct, the patron will not receive the Zoom link or get updates about changes to the event. Consider writing the email down when the patron reads the address to you and show it back to them, to confirm there are no mistakes.
Book Bingo Reading Challenge coming soon! (March 7 - May 11)
- Please review the Book Bingo packet at the main reference station in anticipation of the March 7 start of this game / reading challenge. This challenge is sponsored by Friends of Nanuet Public Library, and will end with a discussion and raffle drawing on May 11, prize to be donated by the Friends Group.
- Please promote this reading challenge at the reference desk when you have the opportunity to connect with readers. I will have a continually updated display near new fiction relating to this challenge.
- In the packet are the rules along with the 4 adult boards.
- Some of the reading categories may require librarian assistance. Denise Starr has put together reading suggestions for some of these more difficult categories. Thank you, Denise! If your reference shift is slow, please consider adding to the Excel spreadsheet she created, stored on the Reference Desktop in a Book Bingo folder. Please only add titles which Nanuet Library owns.

- Janis is in the process of weeding fiction based on a BlueCloud report of fiction acquired more than 7 years ago, which has also not circulated for 7+years. You may see that cart in progress behind the reference desk.

Chromebooks & Wifi Hotspots 4/29/2021
We have simple laptops known as Chromebooks (made by Google) and wireless internet devices (known as Hot Spots) to loan to Nanuet patrons only.
- Checkout is 7 days.
- Currently, renewals are allowed on a case-by-case basis. Please discuss with Kim or Bob before renewing devices for a patron.
- Browsers are in the Reading Room/Nook next to New Nonfiction. When a patron checks out a device, please remove the browser from the display unit.
- All devices are on shelves behind the Reference Desk.
- If you know how to print a receipt, you can check the devices out at Reference.
- If you do not know how to print a receipt, please walk the device down to Circulation for check out.
- We keep track of who has what through a Google Sheet on the Ref Desk computer desktops.

NO GUEST PASSES
- We are no longer giving out guest passes. Patrons must have an RCLS library card. If they don't have one, send them to Circulation. If they don't have their card on them, look up their number in the system and write it down for them. Please enter their card number in the Appointment Schedule.

Library Tracking
- We are tracking how many patrons we get from neighboring libraries. There are lists on yellow notepads at both computers. Please help track when you can.

Rule Enforcement
- Please ask Greg to enforce our policies when you see them being violated. See someone with their nose exposed? Go get Greg. Is someone giving you a hard time about the 45 minute time limit? Go get Greg. He's really helpful, so please use him.
- We have to track when we ask Greg for help. This is to prove to the board that we need him and use him. We will track by each week. There is yet another notepad out on the desk.
Six Feet Distancing Reminder
- Please stay six feet apart from people. Do not get close to people to help them with the computers. I know this is hard, but we need to change how we do our jobs in order to protect ourselves, our coworkers, and our community. Try your best to talk through assistance from a distance. You cannot physically get close to people to help them. Bob is back working from home and is available for Virtual Book a Librarian through Zoom or over the phone. Appointments for Computers and Study Carells 10/15/2020
The Appointment Schedule is bookmarked on the desktop of both computers. Check to make sure you're looking at the right day.
- If a patron walks in without an appointment for a computer or study carrel, they can have 45 minutes if there is space AND if they have a library card.
- Check the schedule to make sure there isn't a reservation for someone else.
- NEW: Please enter the library card number of everyone using a computer or study carrel. You can see that in PC Res:

- Locate computer being used. Copy and past name and library card # into Computer Appointment sheet.

How to Make an Appointment for the Computer:
- Open the Appointment Schedule google document. There are shortcuts on the desktops of both Reference Desk computers.

Cleaning 9/16/2020 KN
Reference Staff are responsible for cleaning up after ourselves and patrons.
- Clean your station at the beginning and end of each shift.
- Clean after each patron at the computers, study carrels, or scanner.
- Use disinfecting wipes (large white tub).
- I recommend wearing gloves when cleaning (to protect yourself from germs and the wipes are harsh).
- Wipe down the following (this applies to all - your work station, public computers, scanner, and study carrels):
- Desk area (including under keyboard and mouse)
- Keyboard
- Mouse
- Phone
- Chair
- Drawer handles
- Pens, scissors, other supplies used
- Commonly touched surfaces of digital scanner, but be careful not to damage it. OK to wipe down touch screen, but not the scanning surface.

Adult Services Librarians:
- Walk up to the Community Meeting Room, ensure all patrons have vacated, and shut off lights.
- Walk around Adult Services areas and ensure all patrons have vacated. Shut off lights in Adult Services area.
- Open bathroom doors, declare "The library is closed." Check stalls if comfortable. Shut off bathroom lights.
- If maintenance staff are not in the building, ensure panel of lights next to Circulation are all off.
- If Person in Charge, ensure all staff have exited and set main building alarm system.
Adult Services Pages:
- Reshelve stray materials on tables and study carrels.
- Push in chairs and clear items (pens, garbage, papers) from tables.
- Put unattended items in the Lost and Found box.
- Ensure all windows are closed.
- Ensure front door is locked when exiting.
Since these items take a few minutes and are done at the end of the night, it may mean that staff leaves together a few minutes after 5:00 pm / 9:00 pm.
Dinner and a Movie Registrations 10/29/19 KN
- Please register each person individually.
- In Evanced also write in:
- How the patron paid (cash or check)
- If someone else paid for them
- Your initials and the date
- Receipts are no longer required on our end. You can write one if the patron requests it.
- If a patron pays with cash, write out a post-it with the patron's name and attach it to the piece of cash they paid with.
- If you need to make change, take the post it from the change and add it to new bill.
- Place payments in the corresponding envelopes in the drawer.

That's all you should do. Do not tell them if the room is available. If they insist, tell them Angela books the room and will call them.
She might be working with another group that hasn't been entered into Evanced yet. Please don't assume the space is free because Evanced has an empty slot.

Bestseller Club 7/15
We now have a bestseller club - I'm sure most of you are familiar with the idea.
Forms are located at the reference and circulation desks. If you need to print more, the file is on the desktop, in a folder named bestseller club.
patrons should hand the forms in to reference. Please make sure that they are Nanuet Cardholders and their information is filled in correctly.
I will be updating the lists and Sam will be placing the reserves.

As of Wednesday 5/2, ALL our TV series will circulate for 2 weeks. (new and old)
They will have $1 per day fine, 2 renewals, and be sent out on ILL.
There is still the limit of 10 DVDs per card (4 new).

This weekend we started to put the music CDs alphabetical by artist’s last name or Group name. They will still be separated by genre.
Country, spiritual and holiday have already been completed.
Swing, Blues, Opera and Folk is being worked on Sunday.
Circulation staff and maybe some reference subs are working on this project.
We are not making new labels at this time.

Lost & Found 7/8/17
Please put any big items in the lost and found at the bottom of the stairs. If possible, secure a post it with the date on it.
Valuables - wallets, jewelry, keys, etc...should go to the circulation desk.
Flash Drives should go into the little flash drive box in the draw.
Museum Passes
Nanuet Library cardholders now have access to select Museum Passes. Reference Staff is responsible for managing the entire process, including issuing tickets where needed. The basic details are:
- Museum Pass Browsers are now on display on the opposite side of the Reference printer. These browsers represent which Museum Passes are currently available to check out.
- The actual Museum Passes are stored behind Reference. There is a section marked non-circulating due to Museums either being closed, or the Library needing to renew its membership.
- The Museum Pass Browser directs the patron to bring to Reference to check out. When that happens, please consult the PDF document named "Museum Pass Borrowing Information 2021, rev. (date)," which will be found on the Reference desktop in a folder called "Museum Passes."
- The document will have specific steps to take for that Museum. In some cases, the pass itself will be checked out and given to the patron with nothing else required. In other cases, the pass will be checked out to the patron, then used to reserve a timed ticket for that Museum. The pass may be required or not required in addition to the time tickets depending on the Museum's policy.
- If the Museum Pass is not needed for admission, the pass can be checked in after printing and issuing tickets to patron.
- If the actual Museum Pass is needed for admission, print a checkout receipt for the patron. Go to Display Patron, then click on Printer icon, then select checkouts to print.
- For any situations where the process does not go smoothly, please document: Patron Name / Barcode / Contact info. and give to Bob or email to him - rboyle@rcls.org and let the patron know I will arrange the visit as soon as possible.
Grab Bags 4/29/2021 KN

- Open Outlook

- Look on the left side for the folder titled "Grab Bag Orders" and check for new orders.

Dismantling Institutional RacismPre-Recorded Webinar on Niche Academy
One of the major barriers to dismantling institutional racism is a lack of effective vocabulary, analysis, and principles. Libraries have the potential to be at the forefront of efforts to dismantle racism in our country.
Tobin Miller Shearer, PhD, provides an introduction to training on field-tested and research-based concepts that address both issues of institutional racism in organizations and in the communities with which you connect and serve. There are no quick-fixes for dismantling institutional racism, which requires dialogue and on-going efforts, so a portion of the webinar is dedicated to starting that dialogue and addressing hard questions.
Overdrive and Libby 7/1/2020 KN

OverDrive is for Ebooks and Audiobooks. Click on the images to navigate to the RCLS.Overdrive website where you can search the catalog.
-Libby is an app version of Overdrive for phones and tablets.
- Patrons login with their library card and pin.
- Their pin is usually the last four digits of their library card number. If that doesn't work, check on workflows. Make sure you're in the Circulation tab, go to Modify User, find the patron, click on Priviledge and it should be the second box.
- Books return automatically, there are no overdue fees.
- Ebooks have a small book icon and Audiobooks have headphones.

Rosetta Stone App 3/2/2020 KN
Patrons can use the Rosetta Stone app for free with their library card:
- Go to our website
- Click on "Databases"
- Click on the Languages tab
- Click on the link for Rosetta Stone (have to scroll down some if you're on a phone)
- Click on "Rosetta Stone Library Solution"
- Make an account and select the language
- Click "Launch Rosetta Stone Foundation"
- The device should now go to the Rosetta Stone App
- Our code, if needed, is s8872232
- The language can't be switched within the app. This process needs to be repeated to change the language.
Resume Tips 11/9/2019 KN
Here are best practices for when a patron needs to make a resume. I recommend the use of Microsoft Word.
- Open Word
- Go to file ⇒ New
- In the white "Search for Online Templates" box type in "Resume".
- You should see many to chose from. I recommend the simpler ones.
- Help the patron put in their information.
If the patron needs a lot of help, you can call me for assistance or to sit at the desk. You can also recommend that the patron Book a Librarian for a 30 minute appointment of in depth, one-on-one assistance.
I do not recommend that patrons use resume builder websites, since they are rarely free.

- Add to blue folder and hang other copy in new book sections.

Unique Patrons 5/26/2020 KN
-Please limit calls with Mr. White from Rockland Psych to 10 minutes. Please say:
- "I can only give you [blank] more minutes. We want to keep the phone lines open for other people calling for help."
- "We're at our 10 minute limit, please call back again later if you still need more help."
- Please be firm that this is library policy to keep the phone lines open.
- Please do not advise him on treatment related to "neurological disorders." We can tell him what certain medications are used for and what side effects are. We cannot give patrons medical advice. We cannot advise patrons on how to treat medical disorders or how to get prescribed certain medications. We are not qualified to diagnose or treat medical disorders.
-Mr. White from Rockland Psych used to call looking specific staff members. Please do not tell any patrons anyone's schedule. Offer to assist yourself, take a message, or forward the call.
-Mr. White has also asked us to mail him things. We do not mail out information to answer reference questions. Jeanne handles homebound service, but that is for library materials like books, not general information.
-A white man in his 60s or 70s with gray hair and a gray mustache has been very rude and disruptive at the public computers lately. He often mentions how he is a veteran, has a visual disability, and used to be an engineer. His name might be Jerry. I've talked to him about having a drink in this area, talking on the phone in this area, and that he cannot print for free. On 2/10/2020 I told him we do not allow anyone to print for free and that moving forward, he must pay. In that same conversation, we got into an altercation about his disregard for our rule that drinks are not allowed in the reference area. He left unpleasantly. If he comes back and causes any issues, please let me or Jessica know right away.
-We've had some issues with grown men watching pornography on the teen computers. We're installing filters, so hopefully this won't continue to be an issue.
-I asked another man with a hygiene issue to leave 1/30/2020.
-I asked an older gentleman with a hygiene issue to leave 10/22/19. Angela had also spoken with this man about his hygiene December 2018. Please let me know if there are complaints about patrons with hygiene issues. I will take care of it.
-Mr. Franchino is no longer banned and has been coming in. Let me or Jessica know right away if he says anything inappropriate to staff or patrons.

Pornography Policies 11/14/2019 KN
- Patrons cannot watch pornography on our computers nor on their cell phones.
- Patrons cannot display pornographic images on public computers nor their cell phones.
- Our printers cannot be used to produce pornographic images.
- Our policies state that patrons cannot utilize a computer terminal (including personal devices of patrons) to display graphic materials of an inappropriate nature in the public rooms.
- Or policies define: "graphic materials of an inappropriate nature such as pictures, signs, symbols, insignia or words as:....
- 2. Sexually explicit materials, which exhibit private parts of the human anatomy (female breasts, male or female genitalia) in a lurid or prurient manner; or
- 3. Which displays pornography or child pornography or other graphic materials...."
- Or policies define: "graphic materials of an inappropriate nature such as pictures, signs, symbols, insignia or words as:....
- Here's language you can use to enforce these policies:
- "You were seen watching pornography. This is against library policies. You need to leave the buidling."
- "You cannot watch pornography in the library. You need to leave. "
- "Library policies prohibit the display of sexually explicit materials."
- "I cannot help you print sexually explicit materials."
- "I cannot help you find sexually explicit content on library computers."
- Please get me (Kim) or Jessica if you need assistance handling a situation like this. Call 911 if we are not around and it escalates.
- We can ask patrons who do not abide by these policies to leave.
Sleeping in the Library 11/14/2019 KN
- Library policy is: "Patrons sleeping may be awakened and required to leave the premises."
- Use your discretion to determine if someone is sleeping peacefully. If it is not causing a disturbance and library property is respected, I have no issue with it.
- Snoring is an issue. If a patron is snoring, they should be woken.
- Medical emergencies are an issue. If you suspect someone is under duress, try to wake them. If you can't, call 911.
- Patrons are not allowed to bring in pillows and blankets and sleep with them. Patrons are not allowed to put their feet up on library furniture. Patrons cannot sleep at study carrels when other patrons need to use it for studying.
- If a patron complains about someone else sleeping, wake them. That's a disturbance.
- Techniques to wake up a patron:
- If there's a table or chair, position yourself on the other side of it as a safety barrier.
- Use your voice first. Say, "Excuse me."
- DO NOT TOUCH A PATRON TO WAKE THEM!
- Gently knock on the table or the wall near them.
- Once they are awake explain the situation.
- If they do not heed your direction, get me or Jessica, or ask them to leave the building.
- If you cannot wake them call 911.

- When creating Book Bundles for display, check out books to library card with USER ID 685943.
Chromebook / In-library use by Tutors
- It is acceptable to let tutors use Chromebooks in-library. Please ask for an ID that can be left in the cash drawer.
- Then check out the Chromebook to the Nanuet Reference card,22824000103918
Closing Responsibilities
Displays
- To change status of books you plan to display:
- Check item(s) out to card name / user ID: DISPLAY_A
- Item will then show location as Display.
- When physical display is over, check all items in.
Evanced
- General Reference Login -- username: nanstaff / password: nanstaff
- Find Zoom Link to Programs -- Login to account. Find event and click on name of event. Go to EDIT (pencil), then EVENT DETAILS, look for INTERNAL NOTES and Zoom link should be in there. If not, contact Kristen McInerney (kward@rcls.org), Bob, or program leader.
Frozen PC
- Reboot PC.
- Log the incident on the print PC Freeze log kept to the right of Reference.
- For suspected virus / malware / ransomware incidents, call Rob directly. See Rob Manea - IT / Frontline entry.
EnvisionWare Print Release Station
- If station has rebooted and needs logging in, use username Inet and password inet.
